KSeF · Poland’s National e-Invoicing System

KSeF e-invoicing for companies in Poland — automated, explained in English

Since February 2026 every VAT-registered business in Poland receives invoices through KSeF; from 2027, penalties apply to issuing invoices outside KSeF. Not downloading a purchase invoice carries no fine, but you lose the VAT deduction and control of your costs. Instead of someone logging in and downloading XML files, a module pulls your purchase invoices every hour, turns them into readable PDFs and tells you when something needs attention.

Questions

KSeF in plain English

What is KSeF?

KSeF (Krajowy System e-Faktur) is Poland’s National e-Invoicing System run by the Ministry of Finance. Structured invoices are issued and received through it instead of as PDFs by email.

Does it apply to foreign-owned companies?

If your company or subsidiary is registered for VAT in Poland and trades with Polish businesses, it has to receive invoices through KSeF. Ask your tax adviser how it applies to your structure.

What do you actually build?

A module that pulls purchase invoices from KSeF every hour, recognises corrections and advance invoices, tags suppliers, converts XML to readable PDF and alerts you about overdue invoices or gaps in numbering. It runs in production in my own company.

Can it feed our ERP or send data to headquarters?

Yes — the import file for your accounting system, or an export in the format your group reporting needs, is prepared for your software as part of the build (ERP import is in pilot). We agree the format during the diagnosis.

In which language do we work?

English or Polish. Documentation and the owner’s panel can be in English.
